What's new in PTset

We improve PTset every week. Follow our WhatsApp channel to hear first. WhatsApp channel

Easier sign-up · Plan limits shown in time · Password fields fixed in Arabic

  • Signing up now asks for your mobile number, so the PTset team can help you set up your center. If the activation code does not reach you, signing up again or logging in sends a new one, and "Didn't get the code?" helps you find it, correct your e-mail or ask us on WhatsApp.
  • Plans now show sessions per month. When a center gets close to its plan's active staff or sessions this month, the owner and the administrators see a card on Home with the usage and the plans - nothing ever stops working.
  • Being tried with our first centers: General report > Over time - follow sessions, attendance, hours, cases, load and (for those who see the Budget) revenue, payments, expenses, salaries and profit since the very first session, by day, week, month, quarter or year, or put the years side by side; break a measure down by therapist, service, category or payment method; click any period to open it. Plus highlights in plain words, monthly targets on the cards, last month's report e-mailed to the administrators with a PDF, and a Home card comparing this month so far.
  • In Arabic, the Show button and the eye icon in password fields no longer cover what you type - on sign-in, sign-up, change password and My profile.

New Employee of the month card · ptset.com in Arabic and English, with the latest guides · Rate categories redesigned · Champion of the month

  • The Therapist of the month card on Home is now Employee of the month, with a new design: a round photo with a star, the name, the job and the month, all inside the card - before, the photo was cut off and the name did not show. Where the performance rules are used, it is last month's #1 in Reports > Performance ranking, so any role can win.
  • ptset.com: every public page now has its own Arabic and English link, and the language button keeps you on the same page. A wrong center link now says the center was not found and helps you search for yours by name.
  • ptset.com: the homepage now shows the newest guides for running a center, and each guide has its own cover picture - it also appears when you share the guide's link on WhatsApp or Facebook.
  • Employees > Rate categories is redesigned and works well on phones. Before you save a new rate it shows whose pay changes and from which month, "Used by" lists the people, a category in use can be moved to another one and then deleted, and every change is kept in the category's history.
  • Being tried with our first centers: Champion of the month. Every month PTset picks, by itself, last month's most committed child - coming to the booked sessions, on time, answering the session reviews - and shows the champion on the Home page for the team and the cases, with a printable certificate, a WhatsApp congratulation, the past champions, and "How to be champion?" with each child's progress this month. The factors and conditions are in Settings > Cases.

Safer, simpler sign-in and clearer account e-mails · Backups in every plan · New navigation: clearer menu icons · Two owner accounts in one · Session alerts · Clearer plan renewal

  • Forgot password links now work on any device: the link knows its center, so opening it on your phone (or a phone that last opened another center) takes you straight to choosing a new password. It works once, within 24 hours.
  • New team members and cases get ONE welcome e-mail with a "Choose my password" button and the center page - no password is ever sent by e-mail any more, and there is no second e-mail to wait for. "Send login information" sends the same link.
  • Account e-mails have a new, clear look in your language: activation code (now in the subject too), reset password, welcome, center created, and a new "Your password was changed" notice so you know at once if someone else changed it.
  • One simple password rule everywhere: at least 8 characters and not a common one like 12345678 - no forced capitals or symbols. Old passwords keep working, and passwords are now stored in a much stronger way (nobody has to do anything).
  • After a password change your other phones and computers are logged out and log in again with the new password. "Change password" in the menu now asks for the current password. Many wrong passwords in a row ask you to wait a minute.
  • Owners: after typing the activation code you go straight into your account, and the page tells you if the code e-mail could not be sent. Center login: a space after the e-mail no longer stops you from logging in. Pages also load lighter - they no longer check "who is online" every few seconds.
  • Backups by plan: the automatic monthly backup in Excel (e-mailed to you) comes with the Minimum plan and up, and the copies of your whole database on our servers - every night (the last 14 kept) and every week (the last 4 kept) - with the Moderate plan and up. The Plans page, checkout and Manage > Backup show what your plan includes; Excel export by hand stays on every plan.
  • Owners with two PTset accounts: ask us and we join them into one - all your centers in one console with one login and one password, the paid time left on the second account added to your plan, and its receipts kept in Account & billing. A center can also be moved to another owner account, for example when a partner takes over a branch; its data, link and team stay as they are. Changed your e-mail? Ask us and we change your login e-mail on your account and in all your centers at once, then e-mail you a link to choose your password.
  • Being tried with our first centers: in the new navigation every section and page now has its own icon from one matching set, all the same size. Icons are grey, the open section turns blue, and the page you are on shows a white icon on blue - so you can see at a glance where you are, also in the collapsed menu and on phones.
  • Plan renewal is clearer: the Renew button appears a few days before your plan ends (before that the Plans page shows the day it opens), renewing early adds the new period after the days you still have, and you are reminded before the end. After the end a short grace keeps your centers working before they become read-only.
  • The "Show me how" button at the bottom of the page is smaller now and has a small × to hide it until tomorrow.
  • Also being tried: session alerts. Something wrong in a session - the therapist is not giving the booked service or is not in the place, the case is not well, there is no written program? Open the session and press Alert (the new button at the top of the session form): choose the problem, add details and send it to the moderators on duty, all of them or the people you choose. They get an important notification at once, on their phones too, reply in the alert's conversation (one-tap quick replies), mark it "I'm on it" and "Solved". The session's therapist can be added to the conversation too, so he reads and answers it himself. An alert nobody takes within 5 minutes also goes to the administrators. The problems and quick replies are yours to edit in Manage > Categories; all alerts are in Schedule > Session alerts.

Session reviews: managers' reviews approved at once · results shown 2 hours later · Excuse and absence fees · Attendance sheets

  • Your center link stays in the address bar: opening ptset.com/your-link now keeps that link in the browser instead of changing to ptset.com/0001/lgn.php - so what people copy, bookmark or reload is your center link.
  • Wording: "excuse fine" and "absence fine" are now called "excuse fee" and "absence fee" everywhere - services, price lists, the session form, invoices, case records, the cost quote, help and the setup guide. Only the name changed; the amounts and how they are charged stay the same.
  • Session reviews: a review done by a manager who approves reviews (an administrator) is approved at once - it no longer waits for another manager. And the therapist sees an approved result, and gets its notification, only 2 hours after approval, so a mistake can be corrected first (Settings > Result shown to the therapist after, 0 = at once). Managers see when each result will be shown.
  • Being tried with our first centers: monthly attendance sheets (Cases > Records > Attendance sheet). Print the case's sheet for the month on an A4 page, listing its sessions; after each attended session the case or the companion signs that session's row at reception. At the end of the month mark the sheet received - complete, or with the number of attended rows left unsigned - and attach a photo of it. Off until an administrator switches it on.

Performance rules: point value per rule · Session reviews: no surprise cancellations · Reviewer pay · Case feedback · Knowledge

  • Session reviews: while reviewing the treatment sheet, the reviewer can write a comment under any task (+ Comment for the therapist). The therapist reads it under the task in the Treatment sheet tab when he opens his result, and the result notification says how many tasks have comments.
  • Session reviews - Reviewer pay: in Settings, set a bonus for each approved review (Quick and Full can differ) and a penalty for a missed or rejected review. The money goes straight into Bonus/Penalty for the session's month and shows on the payslip - no Performance rules. Cancelled reviews and accepted excuses cost nothing; if a therapist's dispute is accepted the bonus is taken back. Reviewers see +/− next to each review, and the Reviewers report shows each one's net.
  • Session reviews: a review is no longer taken away from a reviewer who does not check in (administrators who show the QR code, exempt roles), nor after a check-out for a break. A reviewer who uses check-in gets a reminder 5 minutes before; only 5 minutes after the start does the review go to another free reviewer - and if nobody is free it stays with him. Every cancelled or missed review now says exactly why (day off, excuse, a session at that time...) and who did it, in the notification and in the lists.
  • Being tried with our first centers: each performance rule can now set what 1 point is worth - for example 1 EGP in one rule and 5 EGP in another (rule form, 5. Result, "1 point = ... EGP"). Leave it empty to use the general value in Settings. The points and the ranking do not change; only the money in Bonus/Penalty, from now on. Also being tried: case feedback (Cases > Case feedback) - after their sessions, cases rate the day from their phone in under a minute: stars, a few short Yes / Partly / No questions that change from one time to the next, quick choices and a comment. It is off until you switch it on, and asks after the case's first session, when the therapist changes, and every other time with the same therapist (or after every session), with one rating for a day of several sessions. You choose the questions (21 suggested in Arabic and English, plus your own) and see the form before switching it on. The secretary sends the links from one list: one tap opens WhatsApp with the message ready, with a reminder after a day and a notice at closing time of what was not sent. Also being tried: Knowledge (Record > Knowledge) - therapists summarize what they read in a short topic with 3 to 5 key points and 2 to 5 questions, and a reviewer you choose approves it (or sends it back with notes) before colleagues read it. Topics follow your specialties: you only see General topics and those of the specialties switched on in your center. Approved topics can be offered to the PTset library for other centers. Colleagues press "I've read it" at the end of a topic, and managers can ask people to read a topic by a date (with a reminder the day before). A few days after reading, one short question of the day pops up (on Home or right after a save): a right answer comes back after weeks, a wrong one shows the key points. Points, days in a row, badges and the champions of the month make it fun (no money unless you add it to the Performance rules), and Knowledge > Reports shows who reads and where your team needs training. A session review with a low item suggests a topic to read in one click. It is off until you switch it on.

Stop e-mails · Session reviews · Price list · Cost quote

  • Stop e-mails with one click: every notice, report and backup e-mail now has a "Stop these e-mails" link (and the Unsubscribe button in Gmail and Outlook works). In Notifications, a new E-mails card lets each person choose what is also sent to his e-mail - notifications from the center, reports, the monthly backup, PTset news and updates. Owners choose in Account & billing. Activation codes, passwords, payments, maintenance and security e-mails always arrive.
  • Being tried with our first centers: session reviews - senior therapists watch real sessions and score what the system cannot measure by itself: safety, technique, clinical reasoning, communication and professionalism. Staff > Session reviews holds the review form's items in Arabic and English (27 suggested items in 6 categories, plus your own), a Quick and a Full review, and the settings: who reviews, who is never reviewed, 4 to 8 reviews per therapist a month and the timing. The reviews are given by themselves - spread over the month, with different cases, to a senior who is checked in and free for the whole session - and the senior is notified the evening before and 10 minutes before the session. The form opens when the session starts and is filled on the phone in a few minutes; when the session is moved the review moves with it at once (the same senior if he is free then, else another free senior, else another session of the same therapist), and a longer or shorter session moves the review's end too. The review shows as a "Session review" block in the senior's own row of the daily schedule (never on the reviewed therapist's session), and booking him then gives a warning. Settings > Review system: on, paused until a date (holidays, exams - the monthly number gets smaller and it comes back on by itself) or stopped. A manager approves each review (or returns it to the senior, or rejects it) before the therapist sees it in My results; the therapist reads it and presses I have read it, or disagrees and a manager decides. A low score or a safety problem books a follow-up review by another senior within two weeks. A Reports tab shows each therapist's average and its last 6 months, each senior's work and whether he scores strictly or leniently, and a map of items × therapists that shows what to train. Ready Performance rules reward seniors for reviews done on time and penalise missed ones, and give therapists points for their scores, a safe month, passing a follow-up, improving on last month, 3 good months in a row and reading their results - the review score now counts in the performance ranking (points only), the others are off until you turn them on, and penalties always wait for a manager's approval. The reviewer can also check the session's treatment sheet: in a Treatment sheet tab he scores only the program tasks he watched (Didn't see for the rest), then sees the therapist's scores, when each was entered and the agreement, which suggests the score of the task-scores item - blind, open or off in Settings.
  • Also being tried: a new Reports > Price list - one button per price list, a view for cases (service, description, length and price) and one for the team (code, difference from the base list, recent price changes), the price of every length of a flexible service, search, a monthly estimate from sessions a week, phone cards and a clean printout with your logo. Share the list on WhatsApp, copy it as text, or send a link the case opens without logging in.
  • Also being tried: Cost quote (Reports, + New, the Price list and Cases > Prices) - what a plan of sessions will cost a new person or a case: services with their length and days, a month, weeks or a package of sessions, a calendar to remove holidays, the case's own prices and balance, the cost by service and by month, priced exactly as booking. Save it with a number and a validity date, print it, or send it on WhatsApp with a link. In + New, the Evaluations item is now called Assessment form.

Case balances · Warehouse · Server copies · Comments on treatment tasks · Full data export · Notifications from PTset · Treatment task minutes · E-mail delivery

  • Treatment task minutes: minutes you type for a task are now kept - a pin beside them shows it - and Split the session time shares only the rest, so changing one task no longer undoes the others. The time is planned for the real length of the case's sessions (a flexible service booked for 90 minutes is planned for 90, shown beside the button), and a session of another length gets the minutes in proportion. Old tasks of a service replaced by a flexible one now show and save under the new service, a task's Edit can change its service, and Services > Replaces moves all the old tasks at once (with a preview and a backup).
  • Notifications from PTset: we can now tell everyone in your center about updates, new features, planned maintenance, outages and security - in Arabic or English, whichever each person uses. They arrive in the bell and on the phone like the center's notifications, marked PTset, and some by e-mail. Before a planned maintenance a bar at the top of every page (and on the login page) shows when PTset will stop and for how long, with reminders before it starts and a notice when it is back. Each person may turn off only the news about new features (Notifications > My notification settings).
  • Full data export (owner console): it now also exports the treatment programs - the task library, every program written in the assessment forms, a treatment program PDF and a scores file in each case folder, the session scores per year - and each evaluation PDF lists its treatment program. Each staff member gets a folder with a monthly summary, the salary settings and their history, and the advances.
  • Being tried with our first centers: close out a case's account or set its balance without recording money - for wrong old entries that cannot be found, sessions or payments added while trying the system, or balances brought from a previous system. An Adjust balance button on Dues, the payment page and the invoice shows the balance, before and after, and asks for a reason; it warns when credit is taken from the case and offers Refund instead. A new Reports > Case balances page closes out every case at once as of a month (those that owe, those in credit or both), and moves the balances from your previous system - type them or fill the template and upload it. Each change is an adjustment line on the statement and the invoice, never a payment or revenue; it can be deleted the same day or cancelled later (a whole run at once), and the administrators get an e-mail. Dues also gets a "Has old balance" chip.
  • Also being tried: the Warehouse (Moderate plan and up) - consumables, tools for sale and equipment with their stock from every purchase, use, sale and count; low-stock and expiry alerts to the warehouse keepers; requests from the team; stock counts; reports; and the expense or center income of a purchase or a sale recorded once.
  • Also being tried: comments on treatment tasks - a therapist's note on a task in the Programs sheet now reaches the evaluator who wrote the program as a notification. The evaluator replies under the task (from the notification, the Home page or the evaluation's Treatment tab), the therapist is notified of the reply, and they talk until one of them marks it resolved. Messages can be written at any time, and a comment still unanswered after 24 hours is reminded once.
  • Also being tried with the performance rules: rank rewards - in Performance rules > Settings write the amounts for the 1st, 2nd, 3rd... of the month (e.g. 300, 200, 100). On the first day of the next month they wait for approval, then go to that month's bonuses, and each winner sees a congratulations card. The Home "Best performing employees" list now follows the Performance ranking from this month.
  • The copy of your whole database on our servers is made every night on the Moderate plan and up (the last 14 nights kept), and once a week on the other plans (the last 4 weeks kept). The Plans page shows it.
  • E-mails from PTset and your center reach the inbox more reliably: each one is now a complete message with a plain-text copy and a short note saying who sent it, the sender shows as "your center via PTset", and replies to your center's notifications go to your center's administrator. Automatic e-mail addresses made for cases without one are no longer e-mailed. Notices and reports stop for the day before the daily sending limit, so activation codes and passwords always go out.

Full data export · Service codes · Paying for your plan · The center page · Working hours · Your center site · Moving sessions on a phone · Case records · Case invoice

  • Moving sessions on the daily schedule from a phone is easier: holding a session no longer selects the case name, so it lifts on the first try; tapping no longer leaves popups over the schedule; and while you drag, the strip of days no longer appears over the session - dropping it there by mistake moved it to another day. To move a session to another day on a phone, hold it, let go, choose Move... and pick the day. Nothing changed with the mouse.
  • Full data export for center owners (your console > Full data export): everything of a center from its first day until today in one organised zip - the center's information, a folder for every case with its summary, case file and evaluations as PDF, photo and documents, sessions per year, money with the expense vouchers, staff, salaries and attendance - in Arabic or English, with an optional password. You follow it step by step on a progress bar and it is kept for you 3 months. The first export of each center is free, then each one is paid once with PayPal or in Egyptian pounds with InstaPay. The Plans page now also shows what every plan gets for your data: Excel export any time, a nightly server copy, and the automatic monthly backup on every paid plan.
  • Your center site: the page your team logs in from is now also your center's public page. Beside the login it shows your name, a cover picture and a short description, your phone numbers with Call and WhatsApp, Directions on Google Maps, Save contact, Share, your social media and your working hours with "Open now". Administrators fill it in from Manage > The center > Center site (more numbers, Facebook, Instagram, TikTok, YouTube and more, the location, the main colour), and can switch the public part off or hide it from search engines. When you share the center link on WhatsApp or Facebook, the preview now shows your name, picture and description. The login page also remembers your e-mail on this device, switches between Arabic and English, lets staff ask the center on WhatsApp when they forget their password, and says clearly when the plan has ended. The center site can also list your services with their length, show your team (each person decides in My profile - only name, photo and title), show your numbers, and take "Book an assessment" requests: each one becomes a provisional case and the administrators and secretaries are notified to call back. The page itself is new too: it opens in a fraction of a second (it used to take several seconds), with a large header showing your cover, logo, "Open now" and the Book / Call / WhatsApp buttons, the login card beside the center on a computer, a Call / WhatsApp / Directions bar at the bottom of phones, and a dark look when the phone uses dark mode.
  • Logging in to your center now lasts 24 hours: after that the center's page asks for the password again and says why, then takes you back to the page you were on. On the center site the login is for the center's team and its cases, and "Forgot your password? Ask the center on WhatsApp" is there for everyone.
  • Working days and hours: Settings > Center now asks for the days your center works and their hours - two periods a day if you close in the middle of the day - instead of only the days off. Your old days off were kept and your open days were set to 9 AM - 9 PM, so please check them. The schedule now starts an hour before your earliest opening and ends an hour after your latest closing, with the closed time in grey; the session forms warn (without stopping you) about a time outside the hours and suggest free times inside them; Salary settings can copy the center hours into a person's weekly schedule; and the page your team logs in from shows the week with "Open now" or "Closed".
  • A new Manage > The center page, clearer on a phone and faster to open: the center link with Copy and WhatsApp, the center's country, address and phone (administrators can edit them there), staff, therapists, cases, sessions and hours at a glance, your real plan with its end or renewal date, bars for active staff and storage against the plan (amber near the limit), what the storage holds, the last 30 days of sessions, the setup progress, and the payments with their receipt numbers.
  • Safer backups: the downloads in Manage > Backup now open only for a signed-in user who has the "Access system backup" privilege, and only a real year or month can be asked for. Before, some of these files could be opened by other users.
  • Paying for your plan: pay with PayPal, which now renews by itself until you turn it off from Account & billing (monthly, or yearly when offered), or with InstaPay in Egyptian pounds for 1, 3, 6 or 12 months - 12 months cost less. For InstaPay you send the screenshot from the checkout page and follow the confirmation in Account & billing, and your centers keep working while we check when your plan has ended. Every payment now has a numbered PTset receipt you can print or save as PDF, and you are no longer told your plan is ending while PayPal renews it.
  • Administrators can now change a service's code from the Services page. Everything follows the new code at once: past and upcoming sessions, program tasks, salary settings, saved reports and the history. The service shows its old code and the date it changed.
  • Cases > Records is tidier and faster: every session row now has its Fee cell, so the table no longer looks broken; the payments total sits inside its table; and the page reads only the month shown instead of every session the case ever had.
  • Cases > Invoice opens much faster: the case's account is worked out again only when one of its sessions or payments changed, instead of twice every time the page opened. The month list opens the month you pick at once, and an address with a wrong month is ignored.
  • Being tried with our first centers: a new Data & backups page (Manage > Backup) - download any of your data as a real Excel file (cases, evaluations, sessions, services and prices, payments, center income, expenses, dues, staff, salaries, attendance) for any period, with filters, the columns you need and personal data hidden when you share it; ready-made and saved exports; the history of every export; an automatic monthly backup e-mailed to you (every paid plan); a nightly copy of your whole data on PTset servers; import cases and therapists from Excel; and a case file you can print or save as PDF. Also a new Cases > Records page: the case's month at a glance - the attendance rate, sessions, attended and missed, each against last month, and the month's account (required, paid, still due or credit); a calendar strip with a dot for every session in its status colour; the sessions with their therapist and status, shown one status at a time; the payments with who received them and their receipt; arrows to the case's other months; Account statement, Add session and Add payment buttons; clear cards on a phone, a clean printout and an Excel export. And a new Cases > Invoice page: what is still due or the case's credit in one card with how much of the required amount is paid, then required, paid and carried to next month; the month's statement - every attended session, fee and payment in date order with the balance after each one; sessions by service; the last months, required against paid; and Record payment, WhatsApp (the month's summary to the case's phone) and Print in one place; beside each case in the list, red for what it still owes this month, green for its credit, ✓ when paid in full; and Share link - a read-only copy of the invoice the case opens on a phone without logging in, for 7, 30 or 90 days, sent on WhatsApp, updated or stopped any time, showing how many times it was opened.

Share therapists in a session · Flexible service durations

  • Being tried with our first centers: add another therapist to a session to share it - the whole session or part of its time - from the session form, also for the upcoming sessions of the series. He shows as busy on the schedule at that time with the same case (marked 🤝), the schedule warns when he is busy elsewhere, and he is paid for sharing on his own payslip line from his Share rate in Salary settings (or an amount you type). The case pays nothing and the session's therapist keeps his whole wage. Also flexible service durations: one service with several lengths (45, 60, 90 min...), the length chosen when booking and on the session form, a price per length, and wages that follow the length - or a rate, group rate and share rate of its own for each length in Salary settings; old services can be marked as replaced by the new one, so a case keeps one program and one Evaluations report, and their upcoming sessions can be moved to it with their price and wage kept.

Corrections, refunds and salary advances

  • Being tried with our first centers: payments and expenses can be deleted only on the day they were recorded - after that a Correct button in the Payments and Expenses lists adds a linked correction with its reason (wrong amount, wrong case, month or category, or it should not have been recorded), and a closed month keeps its totals; Refund on the payment page gives money back to a case, lowers its credit and prints a refund voucher; a new Record > Center income page records the center's own income that is not a case's - a course, tools, a service - with who paid it, and it shows in Budget by type and in the Payments list but never in a case's account; Staff > Salary advances records part of a salary paid early, who gave it and over how many months it is taken back, with Advances taken and Net to pay on the payslip; and Mark paid records whose cash paid the salaries, so the partners' settlement takes advances and salaries off the right person's cash.

Dues, payments and expenses

  • Reports > Dues opens faster: the whole month is read at once instead of several reads for every case, and the case card loads when you point at a name. Only a real month can be chosen in its address.
  • Reports > Payments opens faster and shows the right time: each payment was shown with the month in place of the minutes, now it shows the real time. The list is read at once instead of several reads for every payment, the case card loads when you point at a name, the total shows the currency, and pressing the day button without a date shows the month instead of an empty list.
  • Reports > Expenses shows every amount with thousands separators, the total with the currency, and the month at the bottom in the page's language (it was always in English).
  • Being tried with our first centers: a new Dues page - what was collected and the collection rate, what is still due (and how much of it is from earlier months) and the credit, each against last month; one click to the cases that owe, not paid, partly paid, paid, in credit or promised; search, therapist, specialty and "owes at least"; each case with its status, a paid bar, its last payment and the follow-up; Pay opens the payment page with the case and the month chosen, Remind sends the amount due on WhatsApp, and notes and promises to pay are kept per case (a passed promise turns red); several cases reminded at once with a message you can change; the last 6 months collected and still due; cards on phones, a clean A4 printout and a CSV for Excel. And a new Payments page: the payments for a month, entered on a day (Today, Yesterday) or between two dates; the total against the period before, how many payments and the average, the cases that paid, the month's collection rate and the payments worth a second look (the same payment entered twice, no receiver); by payment method and by who received, with one click to see only those; search by name, file no., details or reference; the list grouped by day with each day's total; each payment with its method and reference, the month it is for (an earlier month or in advance pointed out), who received and who entered it, and its receipt, WhatsApp receipt and statement; the last 6 months; cards on phones, a clean A4 printout with totals by method and by receiver and signature lines, and a CSV for Excel. And a new Expenses page: the expenses for a month, entered on a day (Today, Yesterday) or between two dates (last 7 days, last 3 months, this year); the total against the period before, how many expenses with the average and the largest, the biggest category, the share of the month's income, the expenses without a receipt and those worth a second look (the same expense entered twice, an amount well above the category's usual) - one click on a card shows only them; by category with each category's usual month (above usual pointed out) and by who spent, with one click to see only those; search, category, who spent and receipt filters; the list grouped by day or by category with subtotals; each expense with its category, the month it is counted in when different, who spent and who entered it, its receipt and its payment voucher; the last 12 months with the average month; cards on phones, a clean A4 printout with totals by category and by who spent and signature lines, and a CSV for Excel.

Budget, the general report and attendance cards

  • Salaries report: in a closed month, two new cards show how much was paid and how much is still to pay (with how many people); click Remaining to see only the people not paid yet. The totals row shows Paid and Remaining for the people shown.
  • Therapists > Sessions shows the wage of each session as the payslip counts it (his share when several therapists worked on it included), and the minutes actually worked against the service's minutes. The wage is shown only to the therapist himself and to those who may see salaries.
  • A new user group, Worker, for staff who do not work with cases - housekeeping, drivers, assistants. Add them from Manage > Users: they check in and out (with the phone or an attendance card), have a salary and a payslip judged by their working hours, ask for excuses and vacations, and get to-do tasks and notifications - without seeing any case, session or money page. Their privileges have their own column on the Privileges page, and a short setup guide shows them around.
  • Safer access: every page and action now checks the user's privileges before it does anything. Some older pages still opened, or saved, for a user who was being sent away, and some delete links worked for anyone who had them; editors are now kept out of administration pages, like therapists.
  • Expenses open faster: the Expense page and the month's expenses list now read only what they show, however many expenses the center has recorded over the years. Deleting an expense works only from the page itself, and who recorded it and when are always taken from the logged-in user and the clock.
  • Being tried with our first centers: a new Budget page - revenue, expenses, salaries and net profit with the margin against last month and last year, where the money went, the partners' settlement (what each collected and spent, the cash he holds, his share and what he hands over), revenue by payment method, collector, specialty and day, expenses by category with the unusual ones flagged, what salaries are made of, the last 12 months, cash in and out through the month, alerts, a clean A4 printout and an Excel workbook with formulas. And a new General report page - any week, month, quarter, year or your own dates compared with the period before or last year: sessions, attendance, delivered hours, active and new cases and the therapists' load with trend lines, sessions by status and the busy hours, where the hours went and each therapist's load, services, cases (new, returning, stopped coming, by specialty, category and referral, often absent) and a sortable therapists table; filters, sections and columns to choose, saved reports, an A4 printout and an Excel workbook - and it opens much faster. And a tidier toolbar on the daily schedule: the day and date on one row, one Find box for a therapist, case or service, the main tools in view and the rest under More, with a help sheet that explains every tool. And attendance cards, for staff without a smartphone: choose who checks in with a printed card (or with either), issue the cards and print them - one at a time or 10 on an A4 sheet with crop marks and a back side. The attendance screen keeps its QR code for phones and, beside it, a camera window reads the cards - both at once, in one list - with the same salary rules; a lost card is replaced in one click and the old one stops at once, and the screen can take a photo at each card scan if you want. And a new Expense page: the amount in large type, the category in one tap (the most used first) showing what it cost this month against its usual month, its last amounts and descriptions one tap away, the receipt straight from the phone camera, a warning before saving the same expense twice, a payment voucher to print, and today's total, this month so far and by category.

Salaries, printing, notifications and the schedule

  • Salaries: the total income now includes everything that is calculated - the share of services revenue, the revenue and profit shares, sessions outside the center, attendance hours pay and outside working hours - and takes off the absence and missing check-out penalties. An old rule in the database used to keep only session wages, fixed salary, bonuses and delay / early leave. Open months show the right total after Refresh; closed months keep what was saved. The menu items are now Staff > Payslips and Reports > Salaries report. The net profit share is no longer in the Salaries report or its total; it shows on the person's payslip only.
  • Reports > Salaries prints cleanly: only the report on A4 landscape, with the center's logo and name, the month and its status, numbered rows, the totals at the end, signature lines and page numbers. Print (or Ctrl+P) prints the people shown after search and filters.
  • New session form, the same in the schedule popup and on the pages: coloured status buttons, a "What happened" part that asks only for what the status needs, "Now" buttons for arrival, start and end, and the billing folded away. A second session right after another one for the same case takes its arrival from the first (Settings > Session recording rules > Gap that needs a new arrival).
  • Daily schedule: Reminders now sends each case one message a day (sent cases are marked, a privilege allows sending more). A conflict you ignore is ignored for everyone in the center. A therapist's excuse shades his whole row, the side panels start folded, and double-click opens a session or, on empty space, adds one.
  • Editors now work like therapists: they open their own schedule (they were sent to another page), their own sessions, and they get every privilege therapists have in each center (shown in Privileges > History, and can be undone).
  • Being tried with our first centers: sending notifications works again (they could stop with "Could not save"). Who receives each automatic notification is now a privilege on the Privileges page (group Notifications), and so are the notification settings, the Sent list and withdrawing. Only administrators see who did an action; others see the center's name. Also: book a session for a day without a time or a therapist yet ("Time later", "Assign later") and place it on the daily schedule later from "To place". And performance rules: bonuses and penalties added by themselves from rules you set (hours, tasks assessment ratio, recording sessions on time, delays and more), warnings before a penalty, points that rank the staff (the ranking opens for administrators; give it to others from the Privileges page), a congratulations card on the Home page, and the Home "Best performing" lists now rank all employees the same way, with medals for the top three. And provisional cases: add an evaluation for a case you know only by name and phone, straight from Add new session; it shows as Provisional until its registration is completed when the case arrives. And a new To-do tasks board: Backlog, Assigned, Waiting for approval and Done, with due dates, priority, checklists, comments and repeating tasks; clear rules for who gives tasks to whom and who approves them (nobody approves his own work, a reason to return one), and the task bonus paid once when approved. And a new payment page: picking the case shows what it owes for the month with one-tap amounts, method and month as buttons, a reference number for transfers, a warning before saving the same payment twice, a receipt to print or send on WhatsApp, and today's total by method and by receiver. And a new Salaries report: the month's total and the change from last month at the top, Summary / Detailed / Attendance views, sort by any column, each person's breakdown in one click, cards on phones, export to Excel, the figures shown at once and updated in the background, and several salaries marked paid at once.
  • Printing works again: the schedules (list and timetable) and the invoice were printing as blank pages; they now print in full, the list starts at the top of the page, and help icons and the setup guide button stay off the paper.
  • Profile pictures: a case without a photo shows the picture of its specialty again (Pediatrics, Orthopedics, Neurology, Nutrition) and it follows the specialty when it changes; Remove photo keeps the specialty picture, and a picture that cannot load shows the general one instead of a broken image.
  • Sessions outside the center (home visits) now have their own line in the payslip with how many there were, and their wages are added to the total salary whatever the pay model, fixed salary only too.

Salaries and attendance

  • Salary settings: "Apply from" now offers last month too while it is still open, so new settings can cover the month you are reviewing before you close it.
  • Booking: the review step now shows the estimated cost of each service and the total at the chosen pricing. The service choices are more compact, and the session time is no longer hidden in the day list.
  • Being tried with our first centers: recalculate a person's session wages for a period after changing salary settings (preview, progress bar, undo), and a penalty for a missing check-out (fixed minutes, a fixed amount or an early leave, with days to correct it first).

Services, pricing and plans

  • Services on one page: search, filters, drag to reorder, duplicate, and a side panel to edit. Arabic and English names, a description and instructions for patients, a re-evaluation interval, an assessment service booked for every new case, which therapist categories may deliver it, and this month’s figures with the price history.
  • A new Pricing page: faster on busy centers, search and filters, a price list can be turned off instead of deleted, and a new list starts from the default list’s prices.
  • Change a whole column of prices by a percentage, a fixed amount or rounding, with a live preview and Undo. Each list keeps a history of who changed which price.
  • While you edit prices you see what the change is worth from the last 30 days of bookings, with warnings for missing prices, prices below the base and fees above the session price.
  • Compare view: every service against every price list in one table, colour-coded against the base list.
  • Places outside the center (home visits, a school...): mark a place as "Outside the center". It is never chosen automatically and has no capacity; its sessions bring no delay, early leave or absence, and they pay the therapist a percentage of the session price instead of the rate category - set for the center and for each therapist. The schedule shows a small house on them and the places dashboard lists who is out now.
  • Plans page: a "Most popular" plan, support details in Arabic, and plans are shown in a clearer order.
  • Being tried with our first centers: new add and edit forms for cases, therapists and staff (duplicate checks while you type, quick add, national ID fill, self-registration by QR, photo crop), referral sources with a starting price list, and a redesigned My Profile page.
