Terms of use

The agreement between PTset and the centers that use it.

Effective: 2026-10-01 · Version 2

What changed in this version

We rewrote the Terms to be shorter, clearer and to match how PTset works today:
- Plans, limits and monthly PayPal payments now match the Plans page; no automatic upgrades or extra charges without your action.
- One clear refund rule: a 30-day money-back guarantee on your first paid subscription.
- Your data stays yours: you control your patients' data and PTset processes it only to provide the service.
- New sections on center verification, data retention (with a 30-day warning before deleting inactive accounts), liability, governing law and how we announce future changes.

These Terms of Use are an agreement between PTset ("PTset", "we", "us", "our") and the person or organisation that creates a PTset account ("you", "the Customer"). PTset is a cloud platform for managing physical therapy and rehabilitation centers. It includes the website ptset.com, the owner console and every center workspace created under your account (together, "the Service").

By creating an account, subscribing to a plan or using the Service, you accept these Terms and our Privacy Policy. If you use the Service on behalf of a center or company, you confirm that you are authorised to accept these Terms on its behalf.

1. Your account

1.1 Registration. You must register with a valid e-mail address and activate your account with the code we send to it. The information you give must be accurate and kept up to date.

1.2 The owner and the users. The account owner can create centers and add users (therapists, reception, accountants and other staff) inside each center and decide what each user may do. You are responsible for everything done through your account and your centers' users, and for removing access for people who no longer work with you.

1.3 Passwords. Each person must use his own login. Do not share passwords. Tell us at once at info@ptset.com if you suspect that someone has accessed your account without permission.

1.4 Support access. To answer your support requests, fix problems or keep the Service running, authorised PTset staff may open your account or a center workspace. They do this only when needed and are bound by confidentiality.

2. Plans and limits

2.1 Plans. The Service is offered in a free plan and paid plans. The current plans, their prices and their limits (for example active users, total users, number of centers, sessions and storage) are shown on the Plans page.

2.2 Limits. Your plan's limits apply to all your centers together. When you reach a limit, some actions (for example adding more users or centers) stop until you move to a higher plan or reduce your usage. We do not move you to a higher plan or charge you more without your action.

2.3 Changes to plans. We may change plan prices or limits. A price change never affects a period you have already paid for. We will tell you at least 30 days before a new price applies to your next renewal. You can change your plan or cancel before that date.

3. Payment

3.1 Paid plans. Paid plans are billed monthly in US dollars and paid in advance. When you subscribe through PayPal, the subscription renews automatically every month until you cancel it.

3.2 Other payment methods. We may also accept bank transfer, InstaPay or another method we agree with you. In that case the plan is activated by us for the period you paid for, and it does not renew automatically.

3.3 Card details. Payments by card are processed by PayPal. PTset does not receive or store your card number.

3.4 Taxes. Prices do not include taxes unless the Plans page says so. Any tax required by law will be added to your payment.

3.5 Late or failed payment. If a payment fails or a paid plan ends without renewal, the features of the paid plan may be limited until you renew. Your data is kept according to section 8.

3.6 Billing questions. If you think a charge is wrong, contact us within 30 days at info@ptset.com. If we find a mistake, we will correct it or refund the difference.

4. Cancellation and refunds

4.1 Cancelling. You can cancel a PayPal subscription at any time from your PayPal account, or by writing to info@ptset.com from your account's e-mail address. The cancellation stops the next renewal. Your plan stays active until the end of the period you have paid for.

4.2 30-day money-back guarantee. If you are not satisfied with your first paid subscription, write to info@ptset.com within 30 days of that first payment and we will refund that payment in full. The guarantee applies once per customer, to the first payment only. It does not cover renewals, later subscriptions or the paid services in section 4.4.

4.3 Other refunds. Apart from section 4.2, payments for periods that have started are not refundable, including unused days or unused months. Approved refunds are paid back through the original payment method within 30 days.

4.4 Paid services. Setup help beyond our written guides, on-site or phone training, data import from other systems and managed data export (section 9.2) are optional paid services. We tell you the price before we start. They are not refundable once delivered.

5. Acceptable use

5.1 Lawful use. You will use the Service only for managing your centers' work and only in line with the laws that apply to you, including the laws on health information and personal data.

5.2 You must not:

  • share logins, or let more users access the Service than your plan allows;
  • copy, resell, rent or sublicense the Service or any part of it;
  • try to reverse engineer, break or overload the Service, access other customers' data, or bypass its limits or security;
  • upload malicious code, or content that is illegal or that you have no right to use;
  • use the Service to send spam or unlawful messages.

5.3 Imported data. When we help you import data from another system, some reports may not include figures from before the date you started using PTset. Large file volumes may need a paid storage plan.

6. Your data and patient data

6.1 Your data stays yours. All data you or your users enter in the Service (patients and cases, sessions, evaluations, payments, staff records, attendance and files) belongs to you. We use it only to provide the Service to you.

6.2 Roles. For your patients' and staff members' personal data, you are the data controller and PTset is the data processor. PTset processes that data only on your instructions (given by using the Service) and to provide the Service. We do not sell it and we do not use it for advertising.

6.3 Your responsibilities. You must have a lawful basis to collect and store the data you enter, including the consent required for health data and, for children, the consent of a parent or legal guardian. You must answer your patients' requests to access, correct or delete their data. The Service gives you tools to do this, and we will help on request.

6.4 Our responsibilities. We keep the data confidential, limit access to authorised staff, protect it with appropriate technical and organisational measures, and use only service providers that protect it to a similar standard (see the Privacy Policy).

6.5 Security incidents. If we learn of a security breach that affects your data, we will tell you without undue delay, explain what happened and what we are doing about it, and help you meet any duty to report it under the law.

6.6 Laws. Both parties will comply with the Egyptian Personal Data Protection Law No. 151 of 2020 and any other data protection law that applies to them.

7. Center information and verification

7.1 Center details. You are responsible for the accuracy of the name, address, phone number and logo of each center you create.

7.2 Verification. We may verify a center after checking that it is a real, operating center. A verified center shows a "Verified" badge. We may remove the badge if the information changes or turns out to be inaccurate.

7.3 Customer listing. We may show the name and logo of verified centers on our website as centers that use PTset. You can ask us to stop at any time by writing to support@ptset.com.

8. Data retention and deletion

8.1 While you are a customer. We keep your data for as long as your account is active.

8.2 After you leave. If you close your account, or your account stays without an active plan after cancellation, we keep your data for 90 days so that you can come back or export it. After 90 days it is permanently deleted, except where the law requires us to keep it longer.

8.3 Inactive accounts. If no one logs in to an account on the free plan for 6 months, we may treat it as inactive. We will e-mail the owner at least 30 days before deleting it. Logging in during that time keeps the account.

8.4 Deleted data. Data that you delete, or that is deleted under this section, cannot normally be recovered. If a copy still exists in our backups, we may restore it on request for a fee of US$300 (or its equivalent in Egyptian pounds), without any guarantee.

9. Exporting your data

9.1 Self-service export. At any time during your subscription you can export your data using the reports and export tools in the Service, free of charge. Please check your exports: you are responsible for keeping the copies you download.

9.2 Managed export. On request, our team can export all your records for you in the formats available in the Service, for a fee of US$100 paid in advance. We agree the delivery date with you. Please confirm within 7 working days that you received the export complete. After that, a new export is a new paid request.

9.3 Formats. Exports are provided in the formats the Service offers at the time of the request. We are not obliged to convert data to another system's format.

10. Service availability and changes

10.1 Availability. We work to keep the Service available 24 hours a day. It may sometimes be unavailable because of maintenance, updates or events outside our control. We try to do planned maintenance outside normal working hours.

10.2 Changes to the Service. We improve the Service continuously and may add, change or remove features. If we remove a major feature of a paid plan, we will tell you in advance.

10.3 Third-party services. The Service uses providers for hosting, e-mail and payments (such as PayPal). We choose reliable providers, but we are not responsible for their outages.

11. Intellectual property

11.1 Ownership. The Service, its software, design, content and trademarks are owned by Ibrahim Abdel Rafe Ibrahim Ibrahim Salem (PTset) and protected by the Egyptian Intellectual Property Law No. 82 of 2002 and other applicable laws.

11.2 Your licence. While your account is active, we give you a limited, non-exclusive, non-transferable licence to use the Service for your centers' work. No other right is given to you.

11.3 Feedback. If you send us ideas or suggestions, we may use them to improve the Service without any obligation to you.

12. Warranties and liability

12.1 Our commitment. We provide the Service with reasonable skill and care. Apart from what these Terms say, the Service is provided "as is", and we do not promise that it will be free of errors or meet every need.

12.2 Clinical decisions. PTset is a management and documentation tool. It does not give medical advice. Clinical decisions, reports and the information you record are the responsibility of your center and its professionals.

12.3 Limit of liability. To the extent the law allows, we are not liable for indirect losses such as lost profit, lost business or lost reputation. Our total liability for any claim relating to the Service is limited to the amount you paid us in the 3 months before the event that caused the claim. Nothing in these Terms limits liability that cannot be limited by law.

13. Suspension and termination

13.1 By you. You can stop using the Service and cancel at any time (section 4). You can also ask us to close your account and delete your data sooner by writing to support@ptset.com.

13.2 By us. We may suspend or close an account, with notice when possible, if you seriously or repeatedly break these Terms, do not pay, or use the Service in a way that harms other customers or the Service. When we close an account for a reason other than a serious breach, we give 30 days' notice and help you export your data.

13.3 After termination. Your right to use the Service ends. Amounts already due stay due. Sections 6, 8, 9, 11, 12 and 15 continue to apply.

14. Changes to these Terms

14.1 New versions. We may update these Terms. Each version is numbered and dated on this page, and earlier versions stay available to read and compare.

14.2 Notice. Before an important change takes effect, we will tell account owners by e-mail and in the owner console, with a short summary of what changed. Unless the change is required by law or for security, it takes effect at least 14 days after we announce it.

14.3 Acceptance. For some changes we will ask you to accept the new version in the owner console. If you do not agree with a change, you can cancel before it takes effect. Continuing to use the Service after that date means you accept the new version.

15. General

15.1 Governing law. These Terms are governed by the laws of the Arab Republic of Egypt. The courts of Cairo have jurisdiction over any dispute. Before going to court, we will both try to settle the matter amicably within 30 days.

15.2 Language. These Terms are available in Arabic and English. If the two versions differ, the Arabic version prevails.

15.3 Entire agreement. These Terms, the Privacy Policy and the plan you choose are the whole agreement between us about the Service. Any other written agreement signed by both of us prevails where it is different.

15.4 Transfer. You may not transfer your account or these Terms to someone else without our written consent. We may transfer them as part of a sale or reorganisation of PTset, and we will tell you if that happens.

15.5 Severability and waiver. If a court finds any part of these Terms invalid, the rest stays in force. If we do not enforce a right at once, we do not lose it.
