An 8-step management plan for a new physiotherapy center from day one

Opening a physiotherapy center is a dream for many therapists. They prepare the place and the equipment carefully, then work starts and they discover the biggest challenge isn't treatment but management: overlapping appointments, unrecorded payments, scattered case files, and a team where nobody is sure who is responsible for what. The good news: you can avoid these problems if you build a clear management system from day one, before bad habits pile up.

In this guide we give you an 8-step plan for managing a new physiotherapy center, and how to apply it on PTset for free.

Why start with management before the first case?

  • The habits you start with stay with you: start on paper, and moving later is hard once it holds hundreds of cases.
  • A new center can't afford lost income: an unrecorded session or a forgotten payment directly affects your ability to keep going.
  • First impressions build reputation: a case that finds its appointment organized and its file complete comes back and recommends you.

Step 1: Define your services and prices clearly

  • List the services your center offers: evaluation, treatment session, re-evaluation and so on.
  • Set the duration and price of each service; durations are what your schedule will be built on.
  • If you'll work with contracted organizations or insurers, give them a separate price list from the start.

In PTset you add each service with its duration and its color on the schedule, create more than one price list, and set a special price for a specific case when needed.

Step 2: Organize hours and places

  • Set the center's working hours and days off.
  • Record your rooms and places (exercise hall, evaluation room and so on) so the same place isn't booked for two cases at once.

Step 3: Build your team with clear permissions

  • Add each staff member with their role: therapist, receptionist or admin.
  • Set permissions per group: what does reception see? Who records payments? Who sees financial reports?
  • Set each person's salary and how it's calculated from the start, and turn on QR check-in.

Clear permissions protect your data and prevent disputes over responsibilities. Also read how to overcome your team's resistance to the software.

Step 4: A complete file for every case

  • Register each case with its details and referral source, so you later know where your cases come from.
  • Receive new cases through the self-registration link to save reception time.
  • Keep the evaluation, treatment program and session records in the case's own file, not on loose papers.

Step 5: An organized schedule and a reminder before every appointment

  • Book single, recurring and group sessions on one schedule the whole team sees.
  • Send the session time to the case on WhatsApp to reduce no-shows.
  • Follow alerts for sessions without recorded attendance, so no session goes unrecorded.

Step 6: Control payments and dues from day one

  • Record every payment with a receipt, and issue invoices when asked.
  • Check overdue dues weekly; they're the first thing new centers lose.
  • Record expenses by category (rent, electricity, supplies) to know your real running cost.

Step 7: Follow treatment quality

  • Review therapists' sessions and give feedback.
  • Collect case satisfaction ratings, follow each case's progress report and re-evaluate on time.

Quality is what makes a case complete its program and recommend your center.

Step 8: Watch your numbers and grow with confidence

  • Review the center's general report each month: sessions, income and expenses.
  • Compare performance across months to see whether you're really growing.
  • Create your center's web page with your services and a booking form, and share it with cases.

Common first-year mistakes

  • Postponing management "until the center grows".
  • Relying on one staff member's memory for appointments and accounts.
  • Offering services without set prices and durations.
  • Not following up dues until they pile up.
  • Not backing up the center's data.
