Video guides in PTset: learn any page in a minute, right inside the platform

PTset video guides: a Video guide button at the bottom of each page and a video library organized by stage

Most questions we get from centers start with "how": How do I add a staff member? How do I book recurring sessions? How do I run payroll? That's why we recorded the series "Your center on PTset, step by step": 77 short Arabic video episodes, recorded on real PTset screens of a working center, taking you in order from registering your center until the whole center runs on PTset. Each episode answers one "how" question, and most are under two minutes.

What does the series cover?

The series opens with a "Start here" episode that introduces PTset and the map of stages, then goes through 12 stages, and ends with a closing episode that gives you a daily, weekly and monthly routine.

Stage 1: Getting started (episodes 1–8)

Registering your center, the setup guide, center details and working hours, rooms and places, services and durations, the price list, payment methods and expense categories.

Stage 2: Building the team (episodes 9–17)

Adding therapists and admin staff, permissions per group, salaries, staff attendance by QR code and attendance cards, performance rules and points, and installing PTset as an app on your phone.

Stage 3: Receiving cases (episodes 18–22)

Adding a new case, provisional cases, the self-registration link, price quotes, and a special price for a case.

Stage 4: Schedule and booking (episodes 23–29)

Booking an evaluation, a recurring series, a group session, reading the schedule, sending the session time by WhatsApp, and printing schedules.

Stage 5: Clinical work (episodes 30–34)

Writing the evaluation, the treatment program with tasks and minutes, recording the session and scoring tasks, task comments, and the knowledge library.

Stage 6: Daily finance (episodes 35–40)

Recording a payment and printing the receipt, invoices, overdue dues, the case balance, expenses, and other income.

Stage 7: Daily operations (episodes 41–49)

QR check-in, today's attendance, permissions and excuses, alerts for unrecorded sessions, moving and rebooking sessions, copying the schedule, notifications, and the to-do list.

Stage 8: Quality and follow-up (episodes 50–54)

Reviewing therapists' sessions, case satisfaction ratings, the case progress report and sharing it, and re-evaluation with result comparison.

Stage 9: Warehouse (episodes 55–59)

Adding items, stock in and out, item requests, stock counts, and warehouse reports.

Stage 10: Month-end (episodes 60–65)

Monthly attendance sheets, staff advances, bonuses and deductions, recalculating session wages, payroll and payslips, and the staff ranking and champion of the month.

Stage 11: Reports and decisions (episodes 66–69)

The center's general report, comparing performance over time, the therapist performance report, and the budget and income.

Stage 12: Growth and safety (episodes 70–76)

Your center's web page, adding a new branch, backups, a full data export, the recycle bin, renewing or upgrading your plan, and changing the account owner's e-mail.

Where to watch

On YouTube

The full series is on the PTset YouTube channel in the playlist "Your center on PTset, step by step", so you can watch even before opening your account, or share it with your team. Each episode's description has time-stamped chapters and links to the previous and next episodes.

Inside PTset: the "Video guide" button

At the bottom of every page an episode explains, you'll find a "Video guide" button that opens the episodes for that exact page, so you watch the step where you are and apply it right away. Home › Video guides lists the episodes by stage, with search. Each episode's page has:

  • Chapters: click any time to jump straight to that part of the video.
  • A written step-by-step guide: if you prefer reading, or want a quick review.
  • Useful tips: shortcuts that save time and help you avoid common mistakes.
  • Previous and next episode: to keep learning in order.

Inside PTset, each staff member sees only the episodes for pages their permissions open: the owner sees the full series, the receptionist sees booking and reception, and the therapist sees what concerns their work. We started the in-app episodes with our first centers, and they're reaching the rest of our centers gradually.

A suggested path for each role

Center owner

  • Watch the series in order: "Start here", then stages 1 and 2 before adding cases.
  • Come back to stages 10 and 11 at the end of each month: payroll and reports.
  • Stage 12 protects your data: backups, export and the recycle bin.

Receptionist

  • Focus on stages 3, 4 and 6: receiving cases, scheduling and booking, and daily finance.
  • From stage 7: alerts for unrecorded sessions, and moving and rebooking sessions.

Therapist

  • Stage 5: evaluation, the treatment program and recording sessions.
  • Stage 8: the case progress report and re-evaluation.
  • From stage 7: QR check-in and permission requests.

Training tips

  • 1. Spread the stages over the first weeks: one or two stages a day is enough.
  • 2. Ask each staff member to watch an episode, then apply the step right away on a test case.
  • 3. When the team keeps asking the same question, send them the matching episode link instead of explaining it again.
  • 4. Combine the episodes with PTset's other help tools: the help icons next to fields, and the interactive "Show me how" guides that walk you through the page.
