How to overcome staff resistance to physical therapy center software, until they rely on it and love it

Updated 2026-10-19

A physical therapy team moving from resisting the software to relying on it

You bought excellent software to run your center, then found the team isn't using it. Reception goes back to the notebook, therapists put off recording sessions, and every day someone says "paper was faster". This isn't failure; it's a stage most centers go through. Staff resistance to new software is normal, and the good news is that it's temporary if you handle it with a plan. This guide explains why teams resist, the problems you'll face at the start, and how to move them step by step to relying on the software, with examples from PTset.

Why does the team resist?

  • Fear of the unknown: "I'm not good with software", especially among older staff.
  • A feeling of extra work: in the first days, recording in the software seems slower than paper.
  • Fear of being watched: "the software will expose every delay and every mistake".
  • Habit: years of paper don't change in a day.
  • A bad past experience: an old system that was complicated or kept breaking.

Find the reason for each person, because each reason needs a different fix.

First-week problems (and how to get past them)

"Paper is faster"

True, but only in the first week. Agree with the team on a trial week with the software running alongside paper, then the software alone.

Recording mistakes

They will happen, and that's normal. Don't punish first-week mistakes; fix them together, calmly. In PTset a deleted session goes to the recycle bin and can be restored, so there's no fear in trying.

"I don't know where to click"

Every page in PTset has a "Show me how" button that walks you through it, and a help icon next to every option. On first sign-in, each person gets a guide that fits their role: Center setup for the manager, the Case journey for reception, and a tour for therapists.

The one who refuses completely

Talk to them alone. Understand their fears, and let them try just one task at first.

A 90-day plan: from resistance to reliance

Week one: explain why before how

Gather the team for 20 minutes and explain what each of them will gain, not what management gains. Then start with as few screens as possible: the schedule, attendance and payments only.

Weeks two and three: a champion for each role

Pick an enthusiastic person in each role (a receptionist, a therapist) who learns faster and helps colleagues. A colleague convinces more than a manager does.

Month one: quick wins for every staff member

  • Therapists see their schedule, sessions and salary on their phone, so nobody asks "how many sessions do I have?" or "what's my salary?".
  • Reception stops calculating balances by hand, because each balance updates after every payment.
  • Everyone checks in with the QR code in a second, and arguments about attendance times end.

When each person sees their own benefit, resistance turns into use.

Month two: the software is the only source

Stop accepting any information outside the software: no notebook, no paper, no side messages. If a session isn't recorded, it didn't happen. Be firm but kind, and be the first to follow the rule yourself.

Month three: reward and celebrate

  • Announce the employee of the month from the performance ranking in the software. Recognition based on numbers is fair and convincing.
  • Share the results with the team: fewer absences, fewer errors, payroll without disputes.
  • Ask the team: what could make your work even easier?

The sign your team loves the software

When staff stop asking "why do we use it?" and start asking "can the software do...?", you've succeeded. By then the software is part of their day, and they won't want to go back to paper.

Management mistakes that increase resistance

  • Forcing every feature on everyone from day one.
  • Using the software only to punish, never to recognize.
  • Ignoring the team's complaints; some of them reveal settings that need changing.
  • Asking the team to do what the manager doesn't do.
