PTset Price advisor: price physical therapy sessions and keep your net margin

Updated 2026-11-07

PTset Price advisor cover: minimum price, excuse and absence fees and the target margin

Physical therapy session pricing is one of the hardest calls a center owner makes. Too low and the profit disappears; too high without a clear reason and cases leave. Costs also move every month, so last year's fair price can lose money today without anyone noticing. That is why PTset now has the Price advisor. It answers one question: what is the lowest price for each service that keeps the net margin you want over the coming months?

The feature is available now in PTset. Follow every update on What's new.

What the Price advisor does

You find it in Finance > Price advisor. It reads your center's own figures of the past months, so there is nothing to type:

  • Payments, expenses and salaries, exactly as in the Budget report.
  • Sessions attended, excused and missed, and the length of each one.
  • What was really collected against what was billed, discounts and the cases' own prices.

It then works out how your costs are expected to change during the months the prices will run, and shows for every service and every length:

  • Minimum price: the lowest price that still reaches your target.
  • Suggested price: the minimum with the safety margin you set.
  • Excuse fee: what an excused slot costs, less what you recover by giving it to another case.
  • Absence fee: what an empty slot costs when a case does not come. It is never above the session price.

Each figure sits beside your current price and the difference in percent. Rows where today's price is below the minimum are shown in red.

Net margin: you set the target

Net margin is payments minus expenses and salaries, as a percent of payments, the same way the Budget report counts it. The default is 15%, and you can type any target right at the top of the page. Four cards follow:

  • The net margin of the months the figures come from.
  • The margin expected if your prices stay as they are.
  • How much prices need to change on average.
  • Your expected monthly costs in the coming period.

Below them, short notes in plain words: booked hours that were not attended, what discounts cost a month, and how much is not collected.

The period: last 3, 6 or 12 months, or your own

At the top, choose which months the figures come from: the last 3, 6 or 12 months, this year, last year, or your own months (up to 24 complete months). It helps, for example, to leave out an unusual month. The prices are always for the coming months.

An administrator's choice becomes the center's reference

When an administrator picks a period or a target margin, it is saved for the center. The page opens on it next time, and the Pricing page and the Budget alert use it. Other users can try another period for themselves only; nothing changes for the center.

Write the prices into a price list in one click

No copying by hand. Tick the rows, change a price if you want, choose the price list, then choose:

  • All now: prices and fees are written at once.
  • In 2 steps, 3 months apart: half of the increase now, the rest waits on the page until you apply it. It is easier on the cases than one big jump.

Booked sessions keep the price they were booked with, cases with their own prices keep them, and every change is kept in the list's history. See also all our guides.

Minimums on the Pricing page and an alert in Budget

  • The Pricing page shows the minimum under each price, with a warning sign when the price is below it, and a line saying which period the minimums come from, with a link to change it.
  • The Budget report shows an alert when your net margin is below your target.

Price is not the only way

The Price advisor also shows other ways to reach the target at today's prices:

  • How many more booked hours a month would do it.
  • What halving absences would add each month.
  • What discounts and the cases' own prices cost.
  • How much of the billed amount is not collected, with a link to the Dues report.

Who can see it?

  • Anyone with the Budget report privilege opens the page and sees the results.
  • Writing prices into a price list also needs the Pricing privilege, or an administrator.
  • Settings, the reference period and the target margin are changed by administrators only.
