How PTset prevents recording errors in a physical therapy center

Every physical therapy center runs into the same problems: a therapist booked in two places at once, one case registered twice under two spellings, a payment entered twice, a price typed wrong, a session deleted with nobody knowing who did it. These recording errors in a physical therapy clinic don't just waste time; they cost money and the trust of your cases. This article explains how PTset handles them in three stages: it prevents the error before saving, warns you while you work, and lets you fix it afterwards.

First: before saving, it stops the error at the start

Double bookings

When you move a session on the schedule, its new place shows in a clear color: green when everything is fine, amber as a warning when the therapist is busy then or outside working hours, and red when the case already has another session at that time. You see the problem before you save. Read more in our guide to session scheduling.

Duplicate cases

When you register someone new, phone numbers, e-mail and file number are checked as you type. If a number already belongs to someone else, a notice appears with a link to open that person. In Egypt, typing the national ID fills in the date of birth and sex for you, so there are no typing mistakes.

A case whose details you don't have yet

If a case books an evaluation before you have their details, register them as a provisional case with just a name and phone. When the details arrive, merge it with the real file, and its sessions, payments and evaluations move there with no duplicates.

Prices and fees

Prices aren't typed by hand each time. They come from the price list chosen for the case (base, package, insurance or contract). When you set a session's status, the amount is calculated automatically: attended at the session price, excused at the excuse fee, absent at the absence fee, cancelled at nothing. The booking form also shows the cost of the sessions before you book.

Second: while you work, it warns you before errors pile up

Duplicate payments

If a payment for the same case and amount is saved twice within 10 minutes, PTset asks you first before saving. And if you delete a payment by mistake, an Undo button appears for a few seconds.

Sessions with no therapist

Sessions that have a time but no therapist yet appear in their own row at the top of the day's schedule, so they aren't forgotten.

Attendance and check-out

Anyone who forgets to check out is reminded to send a correction (the time they left and the reason) before a set date. If the center turns it on, the attendance screen also takes photos at card scans for review.

What's still pending

Alerts for evaluations that are due but not booked, overdue tasks, and session alerts that therapists send to management when something goes wrong.

Unsaved data

If a form page is closed before saving, PTset keeps what you typed in the browser and offers to restore it when you come back.

Third: after a mistake, you can find out and fix it

The recycle bin

A deleted session doesn't disappear. It goes to the recycle bin with who deleted it, when and from which page, and it leaves every schedule, invoice, salary and report until you restore it.

Change history

Changes to sessions are recorded, so you know what changed and who changed it.

Recalculating wages

If you change salary settings for a past month, Recalculate wages shows the old and new wage of every session before saving, with a reason for the change and an option to undo.

Permissions

Each group (administrator, secretary, therapist and so on) sees and does only what their role allows, which prevents many mistakes in the first place, and any change to permissions can be undone from the history.

Copies of your data

Excel export of your data is available at any time, and paid plans add automatic backups.

Tip: software reduces errors, habits prevent them

The best results come when the software is paired with simple habits: record everything when it happens, give every staff member their own account, and do a quick review at the end of each day. If you're starting fresh, follow setting up your center on PTset for the first time, and find more help in the Help center and on the PTset YouTube channel.
