Many centers sign up for management software, then go back to paper and Excel a few months later. The reason is rarely the software. It's the lack of a clear routine for using it, because software only helps when its data is complete and correct every day. This guide sets out best practices for physical therapy clinic daily operations with management software: before opening, during the day, at closing, then every week and every month. The examples come from PTset, but the principles work with any system.
The golden rule: record it when it happens
Every piece of information is recorded at the moment it happens: attendance on arrival, the session when it ends, the payment when it's received. Leaving it for "the end of the day" is the first cause of errors, because memory fails when it's busy. And make the software the single source of truth: no side notebook, no paper on the desk.
Before opening (10 minutes)
- Review today's schedule: who's working today? Are there sessions with no therapist or no set time? Place them now.
- Check the rooms: no two sessions in the same room at the same time.
- Check the alerts on the Home page: evaluations due, today's tasks and team messages.
- Send appointment reminders to cases that haven't had one. Reminders cut missed sessions more than anything else.
During the day: habits that keep your data right
Reception
- When a case arrives, record attendance at once, and any lateness or absence with its reason.
- When a case pays, issue a receipt for every payment, however small, so each case's balance is always right.
- Change appointments only in the software, so every change is kept in the history.
Therapists
- Check in and out with the QR code. Your pay is calculated from it.
- Close the session in the software right after it ends: its status, length and treatment task ratings. Rating the tasks every session is what turns a case's progress into numbers and reports.
- When something goes wrong in a session, send an alert to the management from the software instead of calling or messaging on the side.
Management
- Keep an eye on the schedule during the day and deal with alerts as they come.
- Never give anyone more access than their job needs. The receptionist doesn't need to see salaries.
End of day: closing in 15 minutes
- No session without a status: every session today was attended, missed, excused or cancelled.
- Match the cash: what's in the drawer equals today's payments in the software.
- Check the check-outs: anyone who forgot to check out does it now.
- Review tomorrow's sessions and send the reminders.
Every week (30 minutes)
- Evaluations due: book every evaluation whose date has come.
- Overdue dues: follow up with cases that owe money before it grows.
- Absences: who missed more than once? Contact them before they drop out.
- Team tasks: what's done and what's late.
Every month
- Payroll: review attendance, lateness and leaves, then approve the payslips calculated from the sessions actually delivered.
- Reports: revenue and expenses, number of sessions and each therapist's performance, compared with last month.
- Recognition: announce the employee of the month from the performance ranking. Rewards based on numbers are fair and convincing.
- Your data: download an Excel copy of your data and keep it somewhere safe.
Who does what?
- Reception: bookings, attendance, payments and reminders.
- Therapists: QR attendance, recording their sessions and rating the tasks, and regular evaluations.
- Manager: reviewing alerts daily, dues weekly, and payroll and reports monthly.
Write these roles on one sheet, put it up in the center, and go through it with the team in the first week.
Mistakes that spoil your data
- Running two systems (software and paper) for longer than one trial week.
- Recording sessions "in one go" at the end of the week.
- Sharing one account between several staff, so responsibility is lost and nobody knows who did what.
- Ignoring alerts until they pile up.
Start with small steps
Don't apply everything on day one. Start with scheduling, attendance and payments, then add task ratings and reports after two weeks. If you're starting from zero, follow setting up your center on PTset for the first time, and read our tips on session scheduling. Every page in PTset has a "Show me how" button that walks you through it, along with the Help center and videos on the PTset YouTube channel.
