How to choose physiotherapy clinic software: 10 questions to ask before you buy

Choosing clinic software is a decision you’ll live with for years. Pick the wrong one and you lose months to data migration and staff training, only to find it doesn’t fit how your center works. Ask every vendor these ten questions before you pay.

1. Is it built for physiotherapy centers, or for any clinic?

General clinic software is built around single visits. A physiotherapy center works differently: session packages, long treatment plans, several therapists on one case, and regular evaluations. Ask the vendor to show you a 12-session package from first session to last.

2. Does it fully support Arabic?

Translated menus aren’t enough. Check that right-to-left layout works on every screen, that reports come out in both Arabic and English, and that searching by Arabic names works.

3. How does scheduling work?

Ask about recurring sessions, how it prevents double-booking a therapist or a room, and how easy it is to move or make up a session. Do cases get appointment reminders? The schedule is the screen your team will open most every day.

4. Does it have case evaluations and progress reports?

A professional center measures progress. Look for ready-made evaluation forms, standardized measures, and progress reports that compare two evaluations and print or share cleanly.

5. How does it handle billing?

Packages, partial payments, each case’s balance, discounts, absence and excuse fees, and price quotes. Ask to see a real case statement, not just a list of invoices.

6. Does it calculate therapist payroll?

In most centers, pay is tied to the number of sessions or a share of them. Good software records attendance (by QR, for example) and calculates pay from sessions actually delivered, so there’s no side spreadsheet at month end.

7. Does each role get its own permissions?

The receptionist doesn’t need to see salaries, and a therapist only sees their own cases. Ask whether you can control exactly who sees and edits what.

8. Where is your data, and can you take all of it with you?

Ask how often backups run and whether you can download one yourself. Most important: if you ever leave, can you export all your data in files you can open? It’s your center’s data, not the vendor’s.

9. Does it work anywhere, and for more than one branch?

Cloud software runs on phone and laptop with nothing to install and no server at the center. If you have or plan a second branch, make sure it manages branches from one account.

10. What does it really cost, and who will help you?

Get the full price: is it per user, per case or per branch? Are there setup or training fees? Then ask about support: will someone answer quickly in Arabic, and are there guides and videos to train your team?

Common mistakes

  • Choosing the cheapest option, then paying the difference in staff time and billing errors.
  • Judging from a sales demo instead of testing a real scenario from your own center.
  • Ignoring the receptionist and therapists, who use the system every day.
  • Not asking about data export before signing up.

The bottom line

Write these ten questions down and put them to every vendor you talk to. The system that answers them clearly, and shows you on screen rather than just telling you, is the best fit for your center.

PTset is built specifically for physiotherapy and rehabilitation centers. Get in touch and we’ll show you how it answers these questions using your own center’s data.
